We support all GSA Advantage! and DOD EMALL catalog types and features. Do-It-Yourself users can enjoy our online and toll-free customer service desk, online/on-demand training, and the ability to create both product price list catalogs and text files simultaneously. Before the users get started, they can download valid code tables and spreadsheet templates to make sure they have the required data.

Download Files and Spreadsheet Templates

Here's how the process works on our system.

  • On our web order form menu, contractors simply fill in and verify their GSA-required contract and contact information. They will transfer into the SenSoft system the files they want to be processed.
  • Upon successful processing, we will display all completed information on our secure website for review and approval by the contractors.
  • Once the contractors approve the data and accept responsibility for its accuracy, the GSA or VA Contracting Officers will review and approve the catalog and/or text files.
  • If contractor files are rejected, contractors can correct the files at no additional charge if corrected within 30 days of rejection and the Contracting Officers will re-review them.

SenSoft monitors the approved files until they are published on GSA Advantage! and DOD EMALL. If contractors need our assistance with content, data editing, or file assembly, they can request additional catalog preparation services and are charged accordingly.

Producing Product Price List Catalogs

When contractors are on our web order form menu, they will enter the column letters that correspond to data columns within their existing price list spreadsheets. The contractors' spreadsheets must be organized with the product items in rows and the required GSA information in columns, as described in our order form help screens and examples. Contractors' spreadsheets may reference photos, PDF page numbers, and product-specific web addresses. Photos can be in individual files or photo zip files, and will automatically be resized and renamed as needed to comply with GSA's rules. We will notify contractors if any photo files cannot be processed. Our service also alerts contractors to the presence of waiver-required country codes within their products.

Producing Text Files

Contractors can transfer a single Microsoft Word file or PDF to be processed by SenSoft. The Word file or PDF can include photos and other graphics, logos, tables, charts, links to contractors' websites and the manufacturers' websites, and a table of contents with active hyperlinks to major document sections. The single Microsoft Word file will be converted to GSA's preferred PDF format.

What are Product Price List Catalogs?

Product price list catalogs are electronic listings of your schedule products, prices, and photos in a data format suitable for display on GSA Advantage!. Your government buyers can "click purchase" on your products giving you direct sales 24/7 from around the world. By including any options and accessories, warranty statements, and shipping information, you can help your buyers make best value purchase decisions.

What are the types of Product Price List Catalogs?

Each type of catalog produces a different result on GSA Advantage!. A full or complete catalog is either your first catalog, or it completely replaces what you are currently displaying on GSA Advantage!. A change catalog enables you to provide line-by-line adds, changes, or deletes to your products. Administrative catalogs allow you to change names, addresses, and phone numbers, while sales catalogs offer you temporary selling opportunities. If you're a qualified BPA contractor, you can even produce BPA product catalogs.

What are Text Files?

Text Files are created from your contract Terms and Conditions. GSA recommends that all Contractors publish theri terms and conditions on the Advantage web site so that they will be readily available to buyers. There is a link in the listing for your Contract on E-Library to your document, if it has been uploaded. When your products and services don't lend themselves to being "click purchased" by government buyers who are on GSA Advantage!, you can describe them in the same document with your terms and conditions. Services which require a Statement Of Work (SOW) in order to complete the sale are also included in Text Files. Professional engineering, project management, and consulting are examples of services typically described with labor categories and hourly rates. Often products that are complex or difficult to configure can be found in Text Files.

When are Text Files mandatory?

GSA's Vendor Support Center website contains a lookup table, known as "Schedules SIN/MOL" which you may view or download. This lookup table displays your contracts' Special Item Numbers (SINs) and the SIN type codes which tell you whether you must submit your products and services only as a Text File, or whether you have the choice to describe your products and services in either a Text File or a Product Price List catalog. GSA's "Schedules SIN/MOL" table can be found at the GSA Vendor Support Center's Special Item Number and Maximum Order Limit Table. Even for the few cases where a SIN is 'Product Price List Catalog only', once you provide a product catalog, you can also submit your Text File to provide additional information.
